Privacy notice

This notice explains how DocDream collects, uses and protects personal data. We keep it short and plain. If anything is unclear, email info@docdream.co.uk.
1. Who we are
DocDream is a bookkeeping paperwork service for takeaways, cafés and restaurants, run by Şükrü Erek, a sole trader based in Bristol, United Kingdom, trading as DocDream. Contact: info@docdream.co.uk · 07807 868447.
For the documents a shop sends us (invoices, receipts, bank statements), the shop is the controller and DocDream acts as its processor, following the shop's instructions under a written agreement. For our own customer and enquiry records, DocDream is the controller.
2. What we collect
- Contact details of shop owners and their accountants: name, business name, address, email, phone.
- Business documents you send: supplier invoices, receipts, utility bills, bank statements, menus. These may contain names of suppliers, staff or other individuals.
- Account and billing records: plan, invoices we issue, payments, messages with us.
- Website: our site uses no tracking or advertising cookies. Your language choice is stored only in your own browser.
We do not collect card numbers. We never store full bank account numbers taken from customers' documents.
3. Why we use it and our lawful basis

4. Who we share it with
We never sell personal data. We use a small number of trusted providers to run the service, each under a data processing agreement:
- Hetzner Online GmbH (Germany) – secure server hosting.
- Anthropic (United States) – AI reading of document images and PDFs.
- Google – email inbox used to receive documents.
- Cloudflare – website hosting and email forwarding for docdream.co.uk.
- Your accountant – only the records you ask us to send.
Where data is transferred outside the UK, it is protected by UK-approved safeguards such as adequacy regulations, the International Data Transfer Agreement or the UK Addendum to the EU Standard Contractual Clauses.
5. How long we keep it
While you use DocDream, and for 90 days after your final month. When you leave, we send you all your records first. Invoices DocDream issues to you are kept for 6 years, as HMRC requires. Enquiries that do not lead to a service are deleted within 12 months.
6. How we protect it
Encrypted connections, restricted access, hardened servers with automatic security updates, separate storage per shop, and continuous monitoring with alerts. Documents from senders a shop has not approved are held, not processed.
7. Your rights
You can ask to access, correct or delete your data, restrict or object to its use, or receive it in a portable format. Email info@docdream.co.uk; we reply within one month. If your data is in a shop's records, we pass your request to that shop and help them answer it.
If you are unhappy, you can complain to the Information Commissioner's Office: ico.org.uk · 0303 123 1113. We would appreciate the chance to put things right first.
8. Changes
If we change this notice in a way that matters, we will tell customers by email before the change applies.
